When you use Saika, we collect the following types of information:

Account Information

  • Email address (required for account creation and authentication).
  • Display name (optional, used for collaboration features).
  • Avatar image (optional).

Content You Create

  • Board data, including cards, notes, links, todo items, and their positions.
  • Comments posted on cards.
  • Uploaded files and images.

Usage Data

  • Pages visited and features used within the application.
  • Browser type, operating system, and device information.
  • IP address and approximate geographic location.
  • Interaction patterns (e.g., clicks, navigation) collected via analytics.

2. How We Use Your Data

We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Authenticate your identity and manage your account.
  • Enable real-time collaboration features (live cursors, presence, shared editing).
  • Process payments and manage subscriptions.
  • Send transactional emails (account verification, password resets, billing receipts).
  • Improve the Service through aggregated, anonymized usage analytics.
  • Respond to support requests and communicate about Service updates.

We do not sell your personal data to third parties. We do not use your content for advertising or model training purposes.

3. Data Storage & Providers

Your data is stored and processed using the following infrastructure providers:

  • Convex — Real-time database and backend. Stores your boards, cards, user profiles, comments, and collaboration data.
  • Backblaze B2 — Object storage for uploaded files and images. Files are stored in encrypted buckets with access controls.
  • Vercel — Frontend hosting and content delivery. Serves the web application.

All data is transmitted over encrypted connections (TLS/HTTPS). We select providers with strong security practices and compliance standards.

4. Third-Party Services

We integrate with the following third-party services:

  • Polar — Payment processing and subscription management. When you subscribe to a paid plan, Polar processes your payment information. We do not store your full credit card details; they are handled entirely by Polar. See Polar's Privacy Policy for details.
  • PostHog — Product analytics. We collect anonymized usage data to understand how the Service is used and to identify areas for improvement. PostHog may use cookies or similar technologies for this purpose. See PostHog's Privacy Policy for details.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Specifically:

  • Account data — Retained for the lifetime of your account. Deleted upon account closure, subject to the deletion process described below.
  • Board and card content — Retained while your account is active. Archived content remains available for restoration until you permanently delete it or close your account.
  • Uploaded files — Retained while associated with an active board. Deleted when the parent card is permanently deleted or the account is closed.
  • Usage analytics — Anonymized and aggregated data may be retained indefinitely. Identifiable usage data is retained for up to 12 months.
  • Billing records — Retained as required by applicable tax and financial regulations (typically 5-7 years).

6. Data Deletion & User Rights

You have the following rights regarding your personal data:

  • Access — You can view and export your data at any time through the Service.
  • Correction — You can update your account information and content directly within the Service.
  • Deletion — You can request complete deletion of your account and associated data by contacting us at support@saika.app. We will process deletion requests within 30 days.
  • Portability — You can export your boards and content in standard formats (PNG, PDF, Markdown) using the built-in export feature.

If you are located in the European Economic Area (EEA), you may also have additional rights under GDPR, including the right to object to processing and the right to lodge a complaint with a supervisory authority.

7. Cookies

Saika uses a minimal set of cookies and similar technologies:

  • Authentication cookies — Essential cookies to keep you signed in and manage your session. These cannot be disabled.
  • Preference cookies — Store your UI preferences such as theme mode (dark/light). These are stored in your browser's local storage.
  • Analytics cookies — Used by PostHog to collect anonymized usage data. You can opt out of analytics tracking in your account settings.

We do not use advertising cookies or tracking pixels from third-party ad networks.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make material changes, we will:

  • Update the "Last updated" date at the top of this page.
  • Notify registered users via email or an in-app notice.
  • Provide a summary of what changed.

Continued use of the Service after changes are posted constitutes acceptance of the revised policy.
